LCAS New Member Mentoring Process

Treasurer

Receives new membership enrollments and provides the new member with the membership packet. Sends the new member name and contact information to the Secretary.

Secretary

Receives a list of new members and contact information from the Treasurer. Fills out a Mentoring Request Form for new member orientation. Assigns a mentor to the new members.

Records the mentoring assignments in a Mentoring Request Log.

Sends a copy of the Mentoring Request Form to both the new member and the mentor.

Mentor

Receives Mentoring Request Forms from the Secretary and establishes communications with the new member.

Performs club orientation mentoring as requested and upon completion, sends a completed Mentoring Request Form to the Secretary.

Secretary

Posts the completion of the new member orientation in the log.

Existing Club Member Mentoring Process

Club Member

Fills out and sends the Mentoring Request Form to the Secretary.

Secretary

Receives Mentoring Request Form from club member. Assigns a mentor and records the mentoring assignments in a Mentoring Request Log.

Sends a copy of the Mentoring Request Form to both the club member and the mentor.

Club Member

Receives the mentor assignment and establish communications with the club member.

Complete the requested mentoring assignment. Member and mentor mutually agree that the requirements of the mentoring request have been met.

Mentor

Receives Mentoring Request Forms from the Secretary for club members.

Performs the mentoring as requested.

Upon completion, sends a completed Mentoring Request Form to the Secretary.

Secretary

Posts the completion of the mentoring request in the log and follows up on any additional Mentoring Request Forms from the club member.

Mentor Initiated Mentoring Process

Mentor (Could be anyone that receives a request; officer, club member etc.)

Initiates a mentoring relationship based on a verbal request. Fills out and sends the Mentoring Request Form to the Secretary. If the mentoring request has already been completed, send the completed Mentoring Request Form to the Secretary.

Otherwise, performs the mentoring as requested and upon completion, sends a completed Mentoring Request Form to the Secretary.

Secretary

Receives Mentoring Request Forms from officers or club members. Assign a mentor if one is not already indicated.

Records the mentoring assignments in a Mentoring Request Log.

Sends a copy of the Mentoring Request Form to both the new member and the mentor.

Club Members

Receives a mentor assignment.

Complete the requested mentoring assignment. Member and mentor mutually agree that the requirements of the mentoring request have been met.

Secretary

Posts the completion of the mentoring request in the log.

On-Going Process Improvement

Secretary

Review the Mentoring Request Log at the end of each quarter for completions and follow-up.

In November, review the Mentoring Request Log and compile success stories / lessons learned for presentation at the regular January meeting.
